Executive Assistant to the President

The Aristotle Foundation is seeking a highly organized, proactive Executive Assistant to support the President and help keep the organization running smoothly.

This is a fast-paced role for someone who enjoys solving problems, managing competing priorities, and ensuring important details don’t fall through the cracks.

 

What You’ll Do

  • Manage the President’s calendar, scheduling priorities, and meeting logistics.
  • Coordinate internal and external meetings, including donor meetings, board meetings, media interviews, and stakeholder engagements.
  • Monitor correspondence and help ensure important communications receive timely responses and follow-up.
  • Track action items, commitments, deadlines, and organizational priorities to help keep projects moving forward.
  • Prepare agendas, meeting materials, minutes, and supporting documentation for board and committee meetings.
  • Process invoices, expense claims, and administrative documentation while coordinating with external bookkeeping and accounting support.
  • Maintain organizational records, contracts, subscriptions, memberships, insurance policies, and vendor relationships.
  • Oversee administrative systems, software accounts, and capital asset inventories to ensure records remain accurate and current.
  • Coordinate travel arrangements, event logistics, and special projects on behalf of the President.
  • Serve as a key point of contact for staff, board members, donors, contractors, vendors, and other stakeholders.
  • Provide day-to-day support that enables the President to focus on strategic priorities and organizational leadership.

 

What We’re Looking For

Required Qualifications
  • Post-secondary education, diploma, certificate, or equivalent professional experience.
  • Strong administrative, organizational, and time-management skills.
  • Exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Strong judgment, professionalism, and discretion when handling confidential information.
  • Ability to work independently, anticipate needs, and solve problems proactively.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and common workplace software.
  • Experience coordinating schedules, meetings, correspondence, or projects in a professional environment.
  • Comfortable learning and working with new software platforms and organizational systems.

 

Preferred Qualifications
  • Experience supporting a senior executive, CEO, president, or board chair.
  • Experience in a non-profit, charitable, public policy, advocacy, government, political, or membership-based organization.
  • Experience with bookkeeping support, invoice processing, expense tracking, or financial administration.
