EMPLOYMENT OPENING: Executive Coordinator position

The Executive Coordinator (EC) is responsible for coordinating all administrative and organizational needs at the Aristotle Foundation for Public Policy. This is a key role at the heart of an ambitious young organization that is already having a significant impact on ideas and public policy in Canada. The EC reports directly to, and works with, the president but will also work with other staff, contractors, vendors, the board, and donors to help ensure an efficient, responsive, and cooperative work environment.  

The list of duties noted below is comprehensive, but the Executive Coordinator may be required to fulfill additional duties depending on the needs of the organization. This role would suit a multitasker who is self-motivated and extremely-organized, especially as we are a small organization with demanding objectives. The role combines financial reporting, donor management, events coordination, and other administrative duties.

Education, experience, and required skills:
  • A university degree or equivalent
  • Experience in managing finances, databases, data entry, and administrative duties
  • Experience in events management desirable
  • Proficient in Word and Excel
  • Personable and cooperative
  • Highly organized and a self-starter   
Executive Coordinator Duties: 

Financial management, including:

  • Bookkeeping, monthly reconciliation, payments, bank deposits, coordination of securities donations, and assistance with annual audits.

Donor management: 

  • Monitoring our donations portal and web-based software, direct mail, other donation channels and recording of the same
  • Coordinating such information with the Development Manager
  • Sending notes, letters, books, tax receipts and other items to donors 

Other administrative duties: 

  • Monitoring incoming general emails to the Aristotle Foundation;
  • Updating our email software 
  • Updating and filing various corporate and federal filings
  • Sharepoint file management 
  • Recording meeting minutes including for the board 
  • Monitoring holidays and booking travel for staff and board
  • In coordination with the accountant, president, and other staff, ensure that all activities are conducted in accordance with applicable CRA rules and regulations and other legal requirements.  
  • Coordination of staff benefits

Events duties: 

  • Book event spaces 
  • Create registration forms online 
  • Track registrations and communicate with planned attendees 
  • Coordinate staff, speakers, registrants, vendors, and others for event 
  • Assist with registration on event days 
  • Other duties as required.

The position:
  • Full-time, starting date TBD.
  • Compensation dependent on experience and qualifications.
  • The Aristotle Foundation is located in Calgary. This position is a work-from-home position but the EC must reside in Calgary.

Compensation:

The salary will be commensurate with qualifications and experience. The Aristotle Foundation also offers a health benefits plan and matched RRSP contributions.

Reporting:

The Executive Coordinator reports directly to the President.
